Opening a Second Gym Location? Standardise the Equipment Brief First
Opening a second location turns familiar decisions into shared decisions. At the first gym, everyone may know which pads the head coach prefers. At the second, that knowledge needs to be written down before someone orders a different product with a similar name.
Document what should stay consistent
Create a core equipment brief covering the products your coaching team has approved, their intended use, identifying details and agreed specifications. Include reference photographs and supplier product codes where available. A colour description alone is not enough to identify a repeat order.
Record branding files separately, with a clear version date. If both locations use the same logo, there should be one approved artwork file rather than several copies sent through different message threads.
Let quantities follow local demand
Consistency does not mean buying identical quantities for both sites. One location may run more beginner classes while the other focuses on personal coaching. Build each order around the timetable, expected attendance and existing usable stock.
Ask each site manager to explain the quantities requested. This helps you distinguish opening requirements from optional additions that can wait until membership patterns become clearer.
Agree how deliveries will be checked
Decide whether the supplier will ship to one address or separate locations, and have that arrangement included in the quote. Label the order breakdown by site so cartons can be assigned without guessing.
Use the same receiving checklist at both gyms: compare quantities and product details with the order, note discrepancies, and retain the relevant packaging and photographs while any issue is reviewed. Assign a person at each site to complete the check.
Keep a shared record after opening
Record where equipment is held and document transfers between locations. Otherwise, one manager may order replacements for items that quietly moved to the other gym. A shared spreadsheet can be sufficient if ownership and update responsibilities are clear.
Review the brief when coaches identify a useful change. Agree the revision centrally before it reaches the supplier, so future purchases remain consistent.
